In Outlook, that means Copilot can do\u00a0considerably more\u00a0than\u00a0write\u00a0an email. It can summarize a long conversation, help identify what requires attention, draft a reply using the context of the conversation, suggest improvements to an email you wrote yourself, answer questions about your inbox and calendar, and help find a suitable time for a meeting.<\/span>\u00a0<\/span><\/p>\n

If you searched for Copilot 365, M365 Copilot or Microsoft Copilot 365, Microsoft calls the business productivity product Microsoft 365 Copilot. This guide explains what it\u00a0actually does, how its access to Microsoft 365 data works, and how to use its most useful Outlook features without assuming Copilot has permissions or capabilities that it does not.<\/span>\u00a0<\/span><\/p>\n

When you give Copilot a prompt, it can use information you\u00a0are authorized to\u00a0access, such as emails, calendar events, meetings,\u00a0chats\u00a0and documents, to generate a response relevant to the task you are performing. Microsoft describes this process as grounding Copilot in organizational context rather than asking an AI model to\u00a0answer from\u00a0the prompt alone.<\/span>\u00a0<\/span><\/p>\n

Microsoft has now renamed Microsoft 365 Copilot to Microsoft Copilot, while Microsoft 365 Copilot Chat is now Microsoft Copilot Chat. Some Microsoft experiences, licenses, documentation, and product interfaces may continue to display the former names during the transition. The fastest way to understand Copilot is to use it against\u00a0work\u00a0you already perform every day. The following examples use Microsoft’s current Outlook workflow rather than generic AI prompts.<\/span><\/p>\n

<\/span>1. Summarize a Long Email Thread<\/span><\/h3>\n

Open an email conversation in Outlook and select\u00a0<\/span>Summary by Copilot<\/span><\/b>\u00a0or\u00a0<\/span>Summarize<\/span><\/b>\u00a0near the top of the thread.<\/span>\u00a0<\/span><\/p>\n

Copilot\u00a0reviews the conversation and produces a condensed explanation of the important points. Microsoft says summaries can include numbered citations that take you back to the corresponding message, which is useful when you need to verify who\u00a0made a decision\u00a0or where a requirement originated.<\/span>\u00a0<\/span><\/p>\n

One easily missed limitation is that Draft with Copilot in new Outlook and Outlook on the web does not support messages composed in plain-text format.
