Home > Blogartikel > How to Update the Outlook GAL (Global Address List) – and Automatically Sync Microsoft 365 Contacts to iPhone & Android

Keeping company contact information accurate sounds simple – until users rely on outdated numbers, missing names, or manually saved contacts on their phones. For many organizations, this problem starts with the Global Address List (GAL) in Microsoft 365 and how contacts are (or aren’t) synced beyond Outlook.

Why “Updating the GAL” Doesn’t Solve Contact Syncing

From an IT perspective, the GAL is already centrally managed. When user details change in Microsoft 365 or Entra ID, the GAL technically updates. But what users experience is different. The Outlook GAL doesn’t automatically populate native contact apps on iPhone or Android, which is why searches like “update GAL Outlook” or “export GAL from Outlook” are so common.

The result is predictable:

  • Users manually export contacts
  • Contacts get imported once and never refreshed
  • IT teams field tickets about missing or outdated contact information

This approach doesn’t scale – and it doesn’t actually solve contact syncing.

Contact Syncing Is the Real Problem

The core issue isn’t viewing the GAL in Outlook. It’s syncing GAL contacts into user address books where they’re actually used – mobile devices, native contact apps, and field workflows.

CiraSync Cloud addresses this gap by automatically syncing Microsoft 365 contact sources – such as the GAL, Public Folders, or Distribution Lists – directly into user mailboxes and native contact apps. Once configured, contacts update automatically as changes occur in Microsoft 365.

Centralized Control for IT, Zero Effort for Users

From an IT admin and IT management perspective, contact syncing needs to be centralized, automated, secure, and auditable. IT defines the source of truth and assigns recipients. Users don’t install apps or manage settings – contacts simply appear and stay current.

Why This Matters to Leadership

For executives, outdated contact data affects responsiveness, professionalism, and customer trust. Automated contact syncing reduces IT busywork, eliminates manual errors, and ensures reliable communication across the organization.

Moving Beyond Manual GAL Updates

If your organization still relies on exporting the GAL or refreshing Outlook, the problem isn’t the GAL, it’s how contacts are delivered.
Talk to a human to see how automated Microsoft 365 contact syncing can reduce manual work and keep company contacts accurate everywhere.
