Microsoft Copilot, formerly Microsoft 365 Copilot, brings generative AI into the Microsoft 365 applications where many organizations already work every day, including Outlook, Word, Excel, PowerPoint, and Teams. 

In Outlook, that means Copilot can do considerably more than write an email. It can summarize a long conversation, help identify what requires attention, draft a reply using the context of the conversation, suggest improvements to an email you wrote yourself, answer questions about your inbox and calendar, and help find a suitable time for a meeting. 

If you searched for Copilot 365, M365 Copilot or Microsoft Copilot 365, Microsoft calls the business productivity product Microsoft 365 Copilot. This guide explains what it actually does, how its access to Microsoft 365 data works, and how to use its most useful Outlook features without assuming Copilot has permissions or capabilities that it does not.

What Is Microsoft 365 Copilot? 

Microsoft Copilot, formerly Microsoft 365 Copilot, is Microsoft’s AI-powered productivity system for work. It works with Microsoft 365 applications and can use organizational information the signed-in user is permitted to access through Microsoft Graph. 

When you give Copilot a prompt, it can use information you are authorized to access, such as emails, calendar events, meetings, chats and documents, to generate a response relevant to the task you are performing. Microsoft describes this process as grounding Copilot in organizational context rather than asking an AI model to answer from the prompt alone.

A useful way to think about it is that Microsoft 365 Copilot has three important layers:

The Microsoft Graph component is particularly important for business users. A normal AI chatbot can help you write an email if you paste information into it. Microsoft Copilot can use permitted Microsoft 365 work context, including emails, chats, documents, meetings, and other organizational information available to the signed-in user through Microsoft Graph. 

Is “Copilot 365” the Same as Microsoft 365 Copilot? 

People searching for “Copilot 365,” “M365 Copilot,” “Microsoft 365 Copilot,” or “Microsoft Copilot 365” are generally looking for Microsoft’s AI assistant for work. Microsoft has now renamed Microsoft 365 Copilot to Microsoft Copilot, while Microsoft 365 Copilot Chat is now Microsoft Copilot Chat. Some Microsoft experiences, licenses, documentation, and product interfaces may continue to display the former names during the transition. Microsoft says the naming change does not alter its organizational security, compliance, or privacy commitments. 

Microsoft Copilot is the add-on-licensed experience that can use permitted organizational information through Microsoft Graph, including work emails, chats, documents, meetings, and other enterprise context. Microsoft Copilot Chat is available without an additional Copilot license to users with qualifying Microsoft 365 business or enterprise subscriptions, although its access to organizational information is more limited. 

In Outlook specifically, users without the Copilot add-on can still use Copilot Chat with supported inbox, calendar, meeting, and other limited information. Users assigned a Microsoft Copilot add-on license receive broader work-data grounding and access to additional permitted organizational information. 

What Can Microsoft Copilot Do in Outlook? 

Microsoft’s current Outlook documentation includes a growing list of Copilot functions. The most useful ones for everyday business users are:

How to Use Microsoft Copilot in Outlook 

The fastest way to understand Copilot is to use it against work you already perform every day. The following examples use Microsoft’s current Outlook workflow rather than generic AI prompts.

1. Summarize a Long Email Thread

Open an email conversation in Outlook and select Summary by Copilot or Summarize near the top of the thread. 

Copilot reviews the conversation and produces a condensed explanation of the important points. Microsoft says summaries can include numbered citations that take you back to the corresponding message, which is useful when you need to verify who made a decision or where a requirement originated. 

In supported new Outlook and web scenarios, Copilot can also summarize supported Word, PowerPoint and PDF files attached to an email. 

A project manager returning after several days away, for example, could use the summary to identify the latest decision, outstanding questions and next steps before reading a 30-message thread in full.

2. Draft an Email with Copilot

In Outlook: 

  1. Select New Mail. 
  2. Select the Copilot icon. 
  3. Choose Draft or Draft with Copilot. 
  4. Describe what the email needs to accomplish. 
  5. Generate the draft. 
  6. Review the result and adjust the tone, length or instructions before sending. 

Microsoft supports Draft with Copilot across several Outlook clients, including new Outlook, classic Outlook, Outlook for Mac and Outlook mobile, although individual capabilities vary. One easily missed limitation is that Draft with Copilot in new Outlook and Outlook on the web does not support messages composed in plain-text format. Microsoft instructs users to use HTML composition instead.

A better prompt also produces a better draft. Instead of: ‘Write a project email.’ 

give Copilot the information a colleague would need: 

“Draft a concise email to the implementation team explaining that the migration has moved to Thursday. Ask each team lead to confirm their checklist is complete by 3 PM Wednesday. Keep the tone professional and direct.” 

Microsoft’s own prompting guidance recommends providing a clear goal, then adding relevant context, expectations and sources when useful.

3. Improve an Email You Already Wrote

You do not have to let Copilot write the message. 

Write the email yourself, select Copilot > Coaching by Copilot, and Outlook can evaluate the draft for areas such as tone, clarity and reader sentiment. You can apply the suggestions or continue editing manually. 

This is often a better enterprise use case than generating every message from scratch. The employee retains control of the substance while Copilot acts more like an editor. 

For example, an escalation email may contain the correct technical information but sound unnecessarily confrontational. Coaching can point out the communication issue without changing the underlying incident details.

4. Ask Copilot Questions About Your Inbox

Copilot Chat in Outlook allows supported work and school accounts to ask questions about email and calendar information. 

Useful prompts include: 

  • Summarize the unresolved items in my emails about the Contoso migration this week. 
  • Find the latest email from our implementation partner about the deployment date. 
  • Which messages from today still appear to require a response? 
  • Summarize the customer escalations I received since Monday. 
  • When is my next meeting with the infrastructure team? 

Without an add-on license, Microsoft currently describes Copilot Chat as being able to work with inbox, calendar, meetings and other limited information. With the Microsoft Copilot add-on, Chat can incorporate broader permitted enterprise context, including relevant chats and documents. 

The difference can be significant. Asking “What did the customer say in this email?” is an inbox question. Asking Copilot to reconcile the email with a Teams discussion and a project document requires a broader organizational context.

5. Schedule a Meeting with Copilot

Copilot can also help with the administrative part of scheduling. 

Open Copilot Chat in Outlook and enter a request such as: 

‘Schedule a 30-minute Teams meeting with Maria and David next week to review the migration plan.’ 

Microsoft says Copilot can check attendee calendars and recommend mutually available times.

This works particularly well when the request includes the purpose, expected duration and participants. The user should still review the proposed meeting before treating the result as final. 

Seven Practical Copilot Prompts for Outlook 

A useful Copilot prompt should contain enough information to remove ambiguity without becoming a miniature specification document. 

Here are seven practical examples: 

  1. Inbox catch-up: “Summarize the important decisions and unresolved questions in emails about Project Atlas from the last seven days.” 
  2. Customer follow-up: “Draft a reply to this customer. Confirm that we received the issue, explain that engineering is investigating it, and avoid promising a resolution date.” 
  3. Executive summary: “Summarize this thread for an executive who needs the decision, financial impact and next action but not the technical discussion.” 
  4. Meeting preparation: “Based on my recent emails and meetings about the migration, give me the five topics I should be prepared to discuss in tomorrow’s project review.” 
  5. Scheduling: “Find a 30-minute time this week when I and these attendees are available, preferably after 1 PM.” 
  6. Email editing: “Make this message shorter and more direct without changing the technical facts.” 
  7. Follow-up review: “Identify emails from this week where someone asked me a direct question and I have not responded.” 

The value is not simply that Copilot can produce text. It can reduce the time users spend locating, reading and reorganizing information that already exists inside Microsoft 365. 

What IT Administrators Should Know Before Rolling Out Copilot in Outlook 

The end-user demo is the easy part. For administrators, Copilot raises questions about permissions, licensing, mailbox architecture and information governance. 

Copilot Does Not Give Users New Microsoft 365 Permissions 

Microsoft says Copilot only accesses organizational information that the signed-in user is already authorized to access. Microsoft Graph honors the existing user identity and permission boundary rather than granting Copilot a new level of access. 

That is reassuring, but it creates an important administration issue: Copilot can make existing oversharing easier to discover. 

If an employee already has access to a SharePoint site, document or other content they should not realistically need, Copilot does not need to break a permission boundary to surface that information. The access problem already existed. 

For Copilot deployments, permissions hygiene, SharePoint governance, group membership and sensitivity labeling become more important, not less. 

Microsoft Says Copilot Data Is Not Used to Train Foundation Models 

Microsoft’s current privacy documentation states that prompts, responses and organizational data accessed through Microsoft Graph are not used to train the foundation large language models used by Microsoft 365 Copilot. Microsoft also says Microsoft 365 Copilot inherits commercial privacy, security and compliance commitments applicable to Microsoft 365 customers.

For administrators assessing Copilot, this is more useful than a generic “AI is secure” claim because it defines both the permission boundary and Microsoft’s stated handling of prompts and organizational data. 

Copilot in Outlook Has Mailbox Limitations 

This is an area that is easy to miss in product demonstrations. 

Microsoft’s current Outlook FAQ says Copilot scenarios operate on the user’s primary mailbox and are not available for archive mailboxes, group mailboxes, or shared and delegate mailboxes that the user can access. Microsoft also says the mailbox must be hosted in Exchange Online. 

That distinction matters in organizations where customer service, finance, HR or operations teams spend much of their day inside shared mailboxes. 

Copilot can be powerful inside Outlook without automatically applying to every mailbox object a user can open. 

Encryption Can Also Affect Copilot Access 

Microsoft documents limitations around encrypted content. Copilot in Outlook cannot access S/MIME or Double Key Encryption encrypted email, and some protected or labeled messages can also restrict particular Copilot scenarios. 

For highly regulated environments, test the actual information-protection configuration used by the organization rather than assuming a general Copilot demo represents the production environment. 

Does Microsoft 365 Copilot Replace Contact or Calendar Synchronization? 

No. Copilot and synchronization solve different Microsoft 365 problems. 

Copilot helps a user understand, generate and act on information that the user can access. It does not function as a centralized directory-distribution engine that copies approved GAL, shared-contact or Public Folder data into designated users’ contact folders and smartphone address books. 

Consider a common example. An employee may be able to locate a coworker’s information through Microsoft 365, but finding that person through Microsoft 365 is different from ensuring the person’s current phone number exists in the employee’s native mobile Contacts application for caller identification.

An organization can use Copilot to make employees more productive with the information inside Microsoft 365 while using CiraSync to ensure important contacts and calendars reach the places employees actually need them. 

Is Microsoft 365 Copilot Worth Using in Outlook? 

For many users, Outlook is one of the clearest places to demonstrate Copilot’s practical value because email creates a constant reading, writing and coordination workload. 

A salesperson may use Copilot to catch up on a customer thread before a call. A project manager can extract decisions from a long conversation. A manager can rewrite a sensitive message before sending it. An employee returning from vacation can ask what changed during the week rather than opening dozens of individual threads. 

The strongest use cases are not “ask AI something interesting.” They are repetitive tasks where the required information already exists across email, calendar and other permitted Microsoft 365 data. 

For IT, however, successful adoption still depends on the basics: correct licensing, supported Outlook clients, Exchange Online architecture, sensible data permissions and users who understand that AI-generated output requires review. 

Microsoft Copilot Makes Outlook More Useful, but Microsoft 365 Administration Still Matters 

Microsoft 365 Copilot changes the way users interact with Outlook because the interface is no longer limited to manually opening messages, searching folders and creating calendar items. Users can increasingly describe the outcome they want and let Copilot retrieve, summarize, draft or organize the relevant information. 

For organizations, the more important lesson is that Copilot works on top of the Microsoft 365 environment already in place. Good permissions produce a safer Copilot experience. Well-organized information produces better context. Correct licensing determines which features users receive. Exchange and Outlook architecture still determine where those features work. 

Copilot can make Microsoft 365 information easier to use. It does not eliminate the need to manage that information properly.
